While you love running your small business from home, there are times when you need space to meet with clients. Fortunately, there are services that offer temporary offices and conference rooms for this very purpose. If you have a client coming to town and need to secure the right type of meeting room, make sure it comes with these four important features. Doing so will ensure the space is just right for your needs.
Excellent Lighting
The last thing you need is to have a visit with your client in a space that seems to be dark and less than welcoming. What you want is a conference or meeting room with a reasonable amount of natural and ambient lighting. Before leasing the space, make sure the windows let in plenty of light and that the overhead lighting will make it easy to read documents, view presentation materials, and in general have a feel of being open and bright. Remember to make sure the overhead lights can be dimmed and the drapes closed if you want to share a presentation on a large screen.
The Right Equipment
Whether you are temporarily renting a virtual office or securing a conference room for a couple of days, always make sure the right type of equipment is on hand. You need access to the Internet as well as a high-quality speaker phone. The necessary connections for any audio-visual equipment you plan on using must also be part of the deal. Remember to familiarize yourself with how all the equipment works before your client arrives. That will make it seem as if you have use the space on a regular basis.
Comfortable Seating
The meetings with your client will last for most of the day. That means the seating in the space must provide a reasonable amount of cushioning and back support. Taking pressure off the body goes a long way toward helping you and your client focus more on the discussion and getting more work done during the visit.
Check to see if the chairs offered around the conference room table or in your temporary office can be adjusted for height. That will make it easier for you and your guest to make any slight changes in seat height, the angle of the back, and other basics. The result will be a more comfortable setting that is conducive to conversation.
Temperature and Humidity Control
When possible, focus on leasing meeting rooms from agile offices that allow you to control the temperature and humidity level in the space. You want to be in a position to change the thermostat is your client is too warm or a little chilly. This is a small but important attribute that will go a long way toward making the meeting more productive. Just as comfortable seating makes it easier to concentrate, the right temperature and humidity level will help both of you focus more on business and less on why it’s so hot or cold in the space.
Instead of waiting until a customer is coming to town, start checking out local temporary office space options now. When the need does arise, there will be no doubt about where to get the type of space you need for the visit. Choose your meeting space wisely and the impression you make on your client will be a positive one.
